Description: The organization is currently seeking for a Finance and Logistics Administrator that will play an effective role in planning and execute campaign projects. The job will be primarily being focused on the overall running of the office in DRC. This includes the specifications listed below but not limited to:

Job Specification:

•Filing maintenance according to filing system set up at the office (in and out mail, contracts, taxes, internal communications, quotes and purchase orders, equipment list, all information relative to administrative and logistics tasks are saved on a regular basis and filed (electronically and manually). 

•On a monthly  basis, prepare and transmit to tax expert all documents relative to staff in order to prepare salary sheets

•Ensure that all information and notes of service from the main office in Johannesburg is correctly distributed among all staff who must acknowledge good receipt and understanding. 

•Maintain accountancy books and send accountancy to the main office in Johannesburg before the 05th of every month. 

•Ensure that all pending invoices are paid in due time. 

•Ensure that all advances are justified within 8 days.  Check and verify upon receipt all financial reports from staff and partners, the authenticity and the validity of all receipts.

•Prepare all documents necessary to audits 

•Ensure that all taxes are paid in due time every month to the Congolese administration, as per the law.

•Ensure that the Providence contribution is properly calculated and transferred on the respective Providence accounts of the staff.

•Ensure once a week the accountancy back up.   

•Send on a monthly basis his administrative, financial and logistical report to the Director of Operations in Johannesburg. 

•Maintain in good condition the IT equipment at the office and of all communications means

•Ensure that all incoming and outgoing equipment is correctly recorded in the electronic database and has its proper code. 

•Keep track at all times of the location of each equipment piece and material.  Ensure written tracking of all equipment and material sent out to the field. Ensure their recovery upon return from field.

Minimum Job Requirements

  • BAC+5 in Administration, Accounting, Finances, Economy or other related field.
  • 3 years working experience in a similar position.
  • Ability to communicate in English verbally and in writing. 
  • Experience in working in an international NGO would be an added advantage.
